The short version
- The membership year runs 1 October 2026 to 30 September 2027. Winter-only runs 1 October to 31 March.
- Paying monthly spreads the cost of a membership. It does not turn the membership into a month-by-month arrangement.
- Your membership holds your child's place in the programme. If they miss a session we can't automatically refund it, but we'll offer a catch-up where we can.
- If we cancel a session, you get a replacement or a credit for that session.
- Cancelling a membership, camp, private coaching booking, drop-in, sports massage or merchandise order each works differently — see the section for what you booked, not a single generic rule.
- Bookings with a hall fee (indoor private and group coaching, indoor Family & Friends Fun, birthday parties): the hall fee is always paid by card when you book — it secures the hall. The coaching fee can be paid by card or in cash at the session. Cancel 5 days or more before for a full refund; with less than 5 days' notice the hall fee isn't refundable, and a booking made less than 5 days before the session has a non-refundable hall fee (section 22A).
- Kit is ordered for your child, in the size you chose. Personalised items can't go back into stock.
- Nothing here removes your legal rights as a consumer.
- ROM Sports is not VAT-registered. Where a hall or lane hire fee includes VAT, that is the hall's VAT, passed on at cost.
1. The membership year
The ROM Sports membership year runs from 1 October to 30 September. Within it:
- Winter membership covers the winter programme from 1 October to 31 March — a six-month membership, not a shorter version of the full-year one.
- Full-year membership covers the same winter programme plus Summer Development from April, and runs the whole year to 30 September.
Every date in your account, your confirmation email and on the website refers to this same year.
2. What membership includes
Membership gives your child a place in the programme you chose, at the level you chose, together with the kit for that level, member communications, and the member benefits published on the membership page at the time you join.
Membership is not unlimited access. It does not include unlimited sessions, drop-ins, summer sessions, private coaching or camps. Private coaching and camps are separate products; membership may give you a member price or priority on them, which is set out on the membership page.
3. Paying
You can pay for winter membership in six monthly instalments or in one payment for the season — winter is an 18-week season run over six months and can't be spread over twelve. Full-year membership can be paid monthly, quarterly or annually over twelve months; the annual figure is exactly twelve monthly payments, with no surcharge for spreading it and no discount for paying up front.
How you pay is not what you are buying. The instalments are the cost of the membership, divided up. Choosing to pay monthly does not make the membership a monthly product that stops when a payment stops.
Payment is collected on the 1st of each month. If you join after the season has started, you're charged pro-rata for the sessions remaining, not the full monthly amount — normal billing on the 1st resumes from there.
Payments are taken by card through Stripe. We do not see or store your card details.
4. Joining part-way through
If you join after the programme has started, you pay for the sessions that are left, not for the ones that have already run. The price is worked out from the actual schedule and shown to you before you pay.
Your kit entitlement is the one that comes with the level you bought, whenever you join.
5. Missed sessions
Your membership reserves your child's place in the programme for the whole term. That place is held whether or not they attend, which is why a missed session is not automatically refundable.
If your child cannot attend, there is no automatic refund, credit, transfer or replacement session. Where capacity and coaching allow, we may be able to offer a catch-up in another group — please ask. A catch-up is something we offer when we can, not something the membership entitles you to.
If your child is going to be away for a long period — injury, illness or a house move — talk to us. We would always rather hear early.
6. Sessions we cancel
If ROM Sports cancels a session, we will try to put on a replacement or catch-up session where that is practical. If we can't reasonably replace it, we will credit or refund that session.
Any remedy relates to the session affected. We can't cover travel, accommodation, equipment or other costs you may have incurred around it.
If a session is cancelled and you booked it with a Summer Development Credit, the credit goes back on your account automatically.
7. Venues
Sessions are delivered at the venues we publish, but venues can change — halls get double-booked, pitches become unplayable, facilities close. Where that happens we will move the session, find an alternative venue, or reschedule. If none of those is reasonably possible, section 6 applies.
Membership is a place in the programme, not a booking of a particular building.
7A. Membership numbers
Every family is issued a free family number (RSF-…) and every player their own player number (RSP-…). We use them to recognise members — so the right member price is applied — and for session registers. Each child has one player number, even when two parents book for them. Each parent sees only their own bookings, unless ROM Sports marks the family as shared.
8. Cancelling your membership
Cooling off
Because you join online, you have 14 days from joining to change your mind and cancel for a full refund, unless the programme has already started with your agreement — in which case we may keep a proportionate amount for the sessions delivered. If personalised kit has already been ordered for your child, section 19 applies to that kit.
How to cancel, and the admin fee
Outside the cooling-off period, to cancel any ongoing membership or block booking, email [email protected] — cancellation can't currently be self-served through the site. ROM Sports retains an admin fee equal to the value of 2 sessions, and refunds the remaining sessions. For a private 1:1/2:1/Group session booked as a block, the same principle applies directly at that booking's per-session rate (section 10) — 2 sessions' worth of whatever rate was actually booked.
Winter membership
Winter membership runs for the winter programme. The monthly option spreads the total cost across six payments; it is not a rolling weekly or monthly subscription. Once winter membership has started, cancelling does not automatically end the remaining commitment — the admin-fee cancellation above applies.
Full-year membership
Full-year membership is a commitment for the membership year you joined. Paying monthly is the payment frequency, not the length of the membership.
If circumstances change
If something significant changes — a long-term injury, a move away, a change in your family's circumstances — contact us as soon as you can. We look at these individually and we try to be fair. We would much rather find a workable answer than hold someone to a season they can't use.
9. Holiday camp cancellation
This is the policy for Summer Holiday Cricket Camp bookings specifically — private coaching, drop-ins, sports massage, merchandise and birthday parties each have their own, below.
| Notice given | Outcome |
|---|---|
| 48+ hours before the session | Full refund, or credit toward a future booking |
| Less than 48 hours' notice | 50% of the fee is payable, plus the full £15 indoor hall hire fee (including the hall's VAT) for indoor camps — outdoor camps have no hall fee |
Any credit offered here is a separate credit note — usable toward another session, private coaching, another camp, or merchandise — and is not a Summer Development Credit.
10. Private coaching (1:1 / 2:1 / Group) cancellation
Applies to indoor (winter) and outdoor (summer) private coaching bookings.
Indoor sessions (with a hall fee — lane hire £7.50 / £15 / £22.50 for 30 / 60 / 90 min, or for Group coaching the half-hall hire with nets of £36 (60 min) / £54 (90 min), each including the hall's VAT). The hall fee is paid by card when you book; the coaching fee by card or in cash at the session (section 22A).
| Notice given | Outcome |
|---|---|
| 5 days (120 hours) or more before the session | Full refund — the hall fee goes back to your card, and so does a coaching fee paid by card; if you were paying the coaching in cash, nothing is owed |
| Less than 5 days, but more than 72 hours | The hall fee is not refunded (the school charges us in full for the hall with less than 5 days' notice); the coaching fee is refunded in full, or nothing is owed on cash |
| 72 hours or less | The hall fee is not refunded, and 50% of the coaching fee is payable — paid by card, we refund the other 50%; paying in cash, 50% of the coaching fee is still owed |
Booking less than 5 days before the session: the hall has to be confirmed with the school straight away, so the hall fee is charged in full and is non-refundable from the moment you book. The coaching fee follows the table above. These 5-day hall terms apply to bookings made from 16 October 2026; earlier bookings keep the 72-hour terms they were booked on.
Outdoor sessions (no hall fee): more than 48 hours before the session, full refund; less than 48 hours' notice, 50% of the coaching fee is payable.
This applies to 1:1, 2:1, Extra focus (90 min) and Group coaching. 1:1, 2:1 and Extra focus prices cover the whole session, however many players it's for.
Group coaching (3–8 players, indoor, half hall) is priced per player plus one shared half-hall fee: 60 min is £22.50 per player + £36 half-hall hire with nets (3 players £103.50, 4 £126, 5 £148.50, 6 £171, 7 £193.50, 8 £216); 90 min is £33.75 per player + £54 half-hall hire with nets (3 players £155.25, 4 £189, 5 £222.75, 6 £256.50, 7 £290.25, 8 £324). Each player who is an identified ROM Sports member pays their own level's price for their coaching — Bronze £21 / £32, Silver £20.50 / £31, Gold £20 / £30, Platinum £19.50 / £29.50 (60 / 90 min); non-members pay the full price. A player is identified when their first name, last name and date of birth match our member record, or by their player number (see Membership numbers), so a member from another family counts too. For example, 60 min for 3 players with one Gold member is £20 + £22.50 + £22.50 + £36 = £101. The half-hall fee is never discounted. A 90-minute session uses two back-to-back hours.
| Group size (non-members) | 60 min · £22.50 each + £36 half hall with nets | 90 min · £33.75 each + £54 half hall with nets |
|---|---|---|
| 3 players | £103.50 (£34.50 each) | £155.25 (£51.75 each) |
| 4 players | £126 (£31.50 each) | £189 (£47.25 each) |
| 5 players | £148.50 (£29.70 each) | £222.75 (£44.55 each) |
| 6 players | £171 (£28.50 each) | £256.50 (£42.75 each) |
| 7 players | £193.50 (£27.64 each) | £290.25 (£41.46 each) |
| 8 players | £216 (£27 each) | £324 (£40.50 each) |
The half-hall hire in these totals includes the hall's VAT (ROM Sports isn't VAT-registered). Outdoor (summer) group coaching at our partner clubs is £60 for the whole session, with no hall fee.
11. Drop-in / pay-as-you-go cancellation
Winter and Summer drop-in (pay-as-you-go) sessions follow the same terms as holiday camps (section 9): 48+ hours before the session gets a full refund or credit; less than 48 hours is a 50% fee, plus the £15 hall fee for indoor Winter drop-ins. Summer drop-ins are outdoor, so no hall fee applies.
Any credit offered is a separate credit note — usable toward another session, private coaching, a camp, or merchandise. It is not, and does not affect, the Summer Development Credits included with full-year membership (section 20).
11A. Family & Friends Fun cancellation
Indoor Family & Friends Fun sessions have a hall fee, paid by card when you book (section 22A); the session fee can be paid by card or in cash. 5 days or more before the session gets a full refund (or a credit note); with less than 5 days' notice the hall fee is not refunded (the session fee is refunded in full down to 72 hours); 72 hours or less, the hall fee is not refunded and 50% of the session fee is payable. A session booked less than 5 days ahead has a non-refundable hall fee (section 10). Outdoor sessions (no hall fee) follow the drop-in terms (section 11): 48+ hours gets a full refund or credit note; less than 48 hours, 50% of the session fee is payable. The price covers the whole group.
Family Fun groups are for 2–8 people (pairs 1–2 people, 30 min). The session fee is £25 (pair, 30 min), £60 (group, 60 min) or £90 (group, 90 min). Indoors in winter the hall's own fee is added, and it depends on the number of people: 1–2 people use one net lane (£15 for 60 min, £22.50 for 90 min, £7.50 for a 30-min pair) and 3–8 people use half the sports hall with nets (£36 for 60 min, £54 for 90 min). Every hall fee includes the hall's VAT (ROM Sports isn't VAT-registered) and is never discounted. Outdoors in summer there is no hall fee. Each person who is an identified ROM Sports member (full name and date of birth, or their player number) gets their own level's discount on their own share of the session fee — Bronze 5%, Silver 7.5%, Gold 10%, Platinum 12.5%; non-members pay their full share. Pairs pay the flat £25.
| Indoor session (non-member) | Session fee | Hall fee (includes the hall's VAT) | Cancelled with 72 hours' notice or less: you pay (less than 5 days but more than 72 hours: just the hall fee) |
|---|---|---|---|
| Pair · 30 min (1–2 people) | £25 (same for members) | £7.50 lane hire | £12.50 (half of £25) + £7.50 = £20 |
| Group · 60 min, 2 people | £60 | £15 lane hire (one net lane) | £30 (half of £60) + £15 = £45 |
| Group · 60 min, 3–8 people | £60 | £36 half-hall hire with nets | £30 (half of £60) + £36 = £66 |
| Group · 90 min, 2 people | £90 | £22.50 lane hire (one net lane) | £45 (half of £90) + £22.50 = £67.50 |
| Group · 90 min, 3–8 people | £90 | £54 half-hall hire with nets | £45 (half of £90) + £54 = £99 |
12. Sports massage cancellation
| Notice given | Outcome |
|---|---|
| 48+ hours before the appointment | Full refund |
| 24–48 hours before the appointment | 50% charge |
| Less than 24 hours' notice | Full payment taken for the missed appointment |
If ROM Sports has to cancel an appointment within 48 hours, you'll be offered 50% off your next booking.
13. Merchandise cancellation
One rule applies to all merchandise, personalised or not:
- Free cancellation or amendment — size, personalisation — within 24 hours of the order being placed, or until the order is included in the next production batch, whichever comes first.
- Once an order has been included in a production batch, it's non-cancellable and non-refundable, since production and shipping costs are committed at that point.
Orders go into a production batch on a fixed schedule; the checkout page shows the current cutoff, so you know exactly how long you have to cancel or change an order for free.
14. Birthday party cancellation
| Notice given | Outcome |
|---|---|
| 14+ days before the party | Full refund |
| 7–13 days before the party | Refund of the package fee, minus the cost of any trophies or merchandise already ordered for the booking, and subject to the hall's own cancellation terms |
| Less than 7 days before the party | The hall hire fee is non-refundable and payable in full; a £100 cancellation fee is also deducted from the total booking; the remaining balance is refunded |
The hall hire fee is always payable in full at the time of booking, as your deposit. For the package fee, you can pay 50% at booking with the balance due 7 days before the party, or pay the full amount upfront.
Parties use the full hall, charged separately from the package: £60 for 1 hour or £90 for 1.5 hours, each including the hall's VAT. Silver is £230 package + £60 hall = £290; Gold is £400 package + £90 hall = £490. Members get their level's discount on the package, never the hall: Silver party £278.50 / £272.50 / £267 / £261 and Gold party £470 / £460 / £450 / £440 for Bronze / Silver / Gold / Platinum (see §19A). An extra party room is available for £75. A £30 cleaning fee applies if the room needs extra cleaning.
15. Refunds
This is the whole of our refund position; no other page overrides it.
- We charged you wrongly. We put it right and refund the difference, as soon as we know.
- You bought the wrong thing. Tell us promptly and we'll move you to the right membership, refunding or charging the difference.
- We cancelled a session. Section 6.
- Your child missed a session. Section 5.
- You cancelled a membership, camp, private coaching, drop-in, massage, merchandise order or birthday party. See the relevant section above (8–14).
Refunds go back to the card used to pay. Where the hall fee was paid by card and the coaching in cash, the hall fee goes back to the card and any coaching already paid in cash is paid back in cash or by bank transfer.
16. If a payment fails
Cards expire and get replaced; it happens to everyone. If an instalment fails, we email you, your membership is marked payment pending, and the payment is retried automatically over the following days.
Your child's place is not withdrawn because a payment failed. If payments keep failing and we can't reach you, we'll contact you before anything changes.
17. Changing level, and upgrading
You can move up a level, or from winter membership to full-year membership, at any time during the season.
When you upgrade, we'll show you the price for the upgrade before you pay. Your new level's benefits — credits, priority, camp and coaching member pricing — start on the day you upgrade.
Kit is not sent twice. If you already have your winter kit, upgrading tops up what you're entitled to rather than re-sending what you have. Upgraded kit joins the next annual kit order rather than being sent on its own.
Moving down a level applies from the next renewal point and does not reverse what has already been supplied or used.
18. Transfers
A membership belongs to the named player. It can't normally be transferred to another child, and it can't be sold or given away. If there is a genuine reason to transfer one — siblings swapping programmes, for example — ask us; we can approve it, but it needs approving.
19. Kit and personalisation
You choose the fit and size for every garment when you join, and we order to it. Kit is issued once per membership year, normally in one dispatch.
Personalisation price. A name and/or number on an item is £4 per item. Members get their tier's discount on every personalised item: Bronze 10% off, Silver 25% off, Gold 50% off; Platinum is free on the items its own membership kit includes. Winter memberships follow the same tiers. Non-members pay £4 per item. Sweatbands aren't personalised; the join form and kit shop show which items can be. Personalisation is paid by card: when you join (added to your first card payment), in the kit shop, or by a secure payment link from Coach Rom — if you pay your membership in cash, the personalisation is a separate card payment. Coach Rom may accept cash for personalisation in individual cases. You'll get an email confirming the names, numbers and prices you chose, and a receipt when it's paid. If the personalisation changes after you've paid (an item added, say), we'll email you a breakdown of what you've already paid, the new charges and the balance, before asking for anything more; if the total goes down, we'll refund the difference. A personalised item goes into production only once it is paid for — so please check the spelling and number before paying.
Merchandise discount. Separately from personalisation, members get a discount on any additional merchandise bought from our Shop & Merchandise outside their membership's kit allocation (an extra hoodie or cap, say): Bronze 5%, Silver 7.5%, Gold 10%, Platinum 12.5%, for winter and full-year memberships alike. The merchandise and personalisation discounts stack, and your order summary shows both before you pay.
- Standard items can be returned unworn, with tags, within 14 days of receipt for a refund or exchange.
- Personalised items — anything carrying a name or number — are made for your child and can't be returned or exchanged unless they are faulty or not what you ordered. That is a limit on returns, not on your rights if something is wrong.
- If we or the manufacturer get it wrong — wrong size sent, wrong name printed, faulty garment — we replace it at our cost.
- Children grow. A size change after production has started is chargeable, and we can't replace lost items free of charge.
Merchandise bought from the kit shop (outside a membership) follows the merchandise cancellation policy at section 13.

19A. Member discount
One member discount. Members get their level's discount — Bronze 5%, Silver 7.5%, Gold 10%, Platinum 12.5% — off the coaching price of private 1:1 and 2:1 coaching (60 and 90 min), group coaching, Family Fun groups and birthday party packages, and off holiday camps and the Shop & Merchandise. The hall or lane hire fee is the hall's own charge and is never discounted. Coaching prices after the discount are rounded down to the nearest 50p. Pay-as-you-go programme sessions are the same price for everyone. Each player who is an identified member gets their own level's discount on their own share (see §10 and §11A). Only one percentage discount applies to an item. Members who joined before 3 October 2026 keep the discounts they joined with until that membership ends (winter-only: 31 March 2027; full-year: 30 September 2027).
20. Summer Development Credits
Full-year membership includes Summer Development Credits: 1 at Bronze, 2 at Silver, 4 at Gold and 6 at Platinum. One credit books one place on an eligible ROM Sports summer development session.
Credits cannot be exchanged for cash, used for private coaching, used against merchandise, or applied automatically to camps. They do not roll over into another year, and they expire on 30 September.
We publish which summer sessions credits can be used on, and we set the capacity of each. Cancel a credit booking more than 24 hours ahead and the credit returns to your account; inside 24 hours it is used, though the place is released for someone else.
A Summer Development Credit is not the same thing as the credit note you might be offered for cancelling a drop-in, camp or coaching session (sections 9–11) — the two are unrelated and can't be swapped for each other.
21. Trials, drop-ins and the £15 credit
🆓 Free trial — new to ROM Sports customers only
- Who can have one. A child who is new to ROM Sports, from a family that hasn’t booked, paid for or joined anything with ROM Sports before (sessions, memberships, camps, coaching or kit).
- Not eligible: current or past members; anyone who has booked a drop-in, camp or coaching session; a child who has already had a free trial; and a child who has already come free as a member’s friend (that was their free first visit).
- One per child, once. One free session per child, used once, on a programme and date with a free trial place (subject to availability — see below).
- Book honestly. Use your own name, email address and your child’s real name and date of birth. A trial booked with a different email address or different details to get round these rules isn’t valid: we may cancel it, or ask you to pay the drop-in price for that session.
- How we check. The booking system checks automatically when you book. If you’ve been with us before, a pay-as-you-go drop-in or a membership is the way to come — you’re always welcome back.
- Think we’ve got it wrong? Message Coach Rom on 07515 428 754 and he can check and, where it’s right to, allow the trial.
- No cash value. A free trial can’t be swapped for money, credit, or a different session or programme, and can’t be transferred to another child.
Drop-in (pay-as-you-go) sessions run within the Winter and Summer drop-in windows, where a programme offers them. You can book ahead, individually or in bulk. Each programme and session has a dedicated allocation of 10 pay-as-you-go spots, in addition to — not left over from — member places. Winter drop-ins are £17.50 per session (Mini Wickets) or £20 per session (Junior Wickets / Girls Development) — from 2 November 2026, £19.50 (Mini Wickets) and £22 (Junior Wickets / Girls Development); a place booked before then keeps the price it was booked at; Summer specialist drop-ins are £25 per session, or free using a Summer Development Credit. Members and non-members pay the same price — membership gives priority booking, not a lower price.
Free trial places are limited: Coach Rom sets how many free trials each session can take, and may close free trials for a programme when it is full. The booking page only shows dates with a free trial place.
After a free trial we may email you once with membership options, and once more about a week later if you haven't joined or booked again. Reply or tell us if you'd rather not hear from us.
If you join a membership within 14 days of a qualifying trial, drop-in or free friend visit (counted from the date of that session, not the day it was booked), we put £15 towards it. The £15 is a credit against membership: it isn't cash, it isn't transferable, it can't be used against kit or private coaching, and drop-ins don't accumulate into a larger discount.
💷 The £15 joining credit — at a glance
- Have a free trial, a drop-in session or a free visit as a friend.
- Join a membership within 14 days.
- £15 comes off your membership — shown before you pay.
21A. Bring a friend
🤝 Bring a friend — at a glance
- Members bring a friend who is new to ROM Sports — their first session is free.
- Your family gets £5 as a thank-you for every friend who comes.
- If your friend joins within 30 days, you get a further thank-you of £10–£20.
- Your friend, and your family, get 25% off drop-ins for 14 days from the friend's free session — and your friend gets £15 off if they join within 14 days.
1. Friend places. Each active membership includes bring-a-friend places every 4 weeks: Bronze 1, Silver 2, Gold 3, Platinum 4. The 4 weeks run from the friend's session. The friends can all come to the same session, as long as it has places free. Unused places don't carry over and have no cash value.
2. Who can come. A friend must be a child who is new to ROM Sports — not a member, and not someone who has booked, had a free trial or come as a friend before. Each child can have one free friend place, once. Book it on the booking page ("Bring a friend") with the email address on your membership. The friend's parent or carer must agree to them coming and give us their name and phone number, and we need the friend's medical details as for any player. They can also give an email address and agree to hear from us — we then email them once about joining, and once more about a week later.
3. If a place can't be booked online. You can ask Coach Rom to approve it. He decides, and we email you either way. A place given on wrong or made-up details may be cancelled, or charged at the drop-in price, and any reward for it withdrawn.
4. Thank-you rewards. For each friend who comes on a free friend place, your family gets £5. If that friend joins a membership within 30 days of their visit, your family gets a further £10 (Bronze), £12.50 (Silver), £15 (Gold) or £20 (Platinum), by your membership level. If you pay monthly, it comes off your next monthly payment; otherwise it's held as credit and comes off your next booking (camps, coaching or drop-ins) or kit order made with the same email address. We email you each time. No reward is given for a friend who doesn't attend. Rewards are credit only: they have no cash value, can't be exchanged for cash or refunded, and aren't transferable. If your monthly membership ends before a reward is used, it moves to account credit for your next booking or kit order.
5. Introductory price — 25% off drop-ins for 14 days. After a friend's free visit, that friend and the member family who brought them get 25% off pay-as-you-go drop-in sessions held in the next 14 days. Two children who are both new to ROM Sports and book the same drop-in session together each get 25% off drop-ins for 14 days from that first session. A free trial or friend place doesn't stop a child counting as new; anything paid for does. From day 15 the normal drop-in price applies, unless you join a membership. The price is shown before you pay. It doesn't apply to memberships, private coaching, camps, parties or kit, and it doesn't combine with a member price on the same place (you get whichever is lower).
6. If the friend joins. A friend who joins a membership within 14 days of their free visit gets the £15 joining credit (section 21), taken off their first payment.
7. Changes. We may change or end bring-a-friend places, rewards or the introductory price for future bookings; anything already earned is kept.
22. Places and priority
Every session has a capacity, set by the space, the coaching and safe player-to-coach ratios. When a session is full, it is full — you can join the waiting list and we will offer places in turn as they come free.
Members are given priority for member sessions and for eligible summer sessions. Priority is not a guarantee of a place on a session that is already full.
22A. Hall and lane hire fees
Lane hire £7.50 (30 min), £15 (60 min), £22.50 (90 min); half hall with nets £36 per 60 min (£54 per 90 min); full hall £60 per hour — each including the hall's VAT (ROM Sports is not VAT-registered; the hall's fee is passed on at cost). Group coaching and Family Fun groups of 3–8 use half the hall with nets (£36 for 60 min, £54 for 90 min); birthday parties use the full hall (£60 for 1 hour, £90 for 1.5 hours). Never discounted; shown separately.
The hall fee is always paid by card when you book. ROM Sports hires the hall from the venue for your session, so the hall fee secures it — your place is confirmed once it's paid. The rest of the booking (the coaching or session fee) can be paid by card at the same time, or in cash to Coach Rom at the session. This applies to every booking with a hall fee, whether you book online or Coach Rom books it for you.
Sharing the cost of a group booking. Coach Rom can split a group booking's payment so each family pays its own child's share: the parent who made the booking pays the hall fee (it secures the hall) and their own children, and each other parent gets their own payment link (card, or cash to Coach Rom). Any share not paid 72 hours before the session passes to the parent who made the booking. The booking is confirmed when every share is paid, and cancellation follows the terms above, share by share.
Cancelling a booking with a hall fee: 5 days (120 hours) or more before the session, you get everything back — the hall fee to your card, and a coaching fee paid by card; nothing is owed on cash. With less than 5 days' notice the hall fee is not refunded — the school (via SchoolHire) needs 5 days' notice to cancel a hall booking and charges it in full otherwise. The coaching fee is refunded in full down to 72 hours; with 72 hours' notice or less, 50% of the coaching fee is payable. A booking made less than 5 days before the session has a non-refundable hall fee from the moment it's booked. Birthday parties follow their own terms (section 14). If we cancel, or the hall isn't available, you get a full refund (section 6).
22B. Bowling machine
ROM Sports has one bowling machine: £10 (60 min) or £15 (90 min) with private coaching; included with camps and Family & Friends Fun. First come, first served.
22C. Private availability
Private sessions are booked one per slot with Coach Rom. If your time is taken, Coach Rom will be in touch to find another.
22D. Enquiry-only products
Family & Friends Fun, 30-minute private sessions, sports massage and birthday parties are arranged by enquiry. Coach Rom will offer available times; your booking is confirmed once paid.
23. Safety, medical and behaviour
Please tell us about medical conditions, allergies and anything else a coach should know, and keep it up to date in your account. We ask for an emergency contact and we will use it if we need to.
Details we need before a booking is completed. For every player on every booking: their full name (first and last), date of birth, and any medical conditions or allergies (or confirmation that there are none). From the person booking: name, email and mobile number, and an emergency contact name and phone number (this can be you, but you must confirm it). In a group booking, for any player who isn't your own child: their parent or carer's name and mobile number, so we can reach them in an emergency. For a birthday party: the birthday child's name and date of birth, the number of children coming and any allergies. For adult-only services (sports massage, Family Fun adults): the attendee's name, contact details and any medical notes. A booking can't be completed — by card or cash — until these details are given, and we keep them with the booking so the coach has them on the day.
Our coaches are DBS-checked, first-aid trained and insured. We expect players, parents and spectators to treat coaches, other players and venues with respect. We can ask someone to leave a session, and in serious or repeated cases end a membership, where behaviour makes a session unsafe or spoils it for others.
24. Photography
We sometimes take photographs or video at sessions to show what the club does. You choose when you join whether you're happy for us to do that, and you can change your mind at any time by emailing us. Saying no doesn't affect your child's place or their coaching in any way.
25. Your data
We hold what we need to run the membership: your contact details, your child's details, medical notes, kit sizes, attendance and payment records. We don't sell it and we don't share it for marketing. Card details are handled by Stripe and never reach us.
You can ask us for a copy of what we hold about you, or ask us to correct or delete it, by emailing [email protected].
26. Your legal rights
Nothing in these terms removes or limits your statutory rights as a consumer, including your rights under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013. Where anything here conflicts with those rights, those rights win.
27. Changes to these terms
We may update these terms — for a new season, a new programme, or because something here turned out to be unclear. The version that applies to your booking is the one published when you booked, unless a change is needed by law. Significant changes will be emailed to members.
